Responsibilities / Position overview

The Office Manager is responsible for leading end-to-end workplace and operational management for the India office. This role ensures seamless delivery across facilities, vendor governance, compliance oversight, travel coordination, employee benefits administration, asset management, budgeting, and employee engagement initiatives.

The role serves as the single point of accountability for workplace operations in India, partnering closely with Leadership, HR, Finance, IT, vendors, and global teams. The incumbent will drive operational excellence, risk mitigation, cost optimization, and employee experience enhancement while ensuring adherence to statutory and internal governance standards.

This position requires a high degree of ownership, structured execution, stakeholder management capability, and the ability to balance compliance rigor with people-first delivery.

 

Duties & responsibilities include:

  • Serve as the single point of accountability for end-to-end workplace and facilities operations for the India office.
  • Manage infrastructure, space utilization, hygiene, safety, and overall office administration to ensure a safe and efficient work environment.
  • Lead vendor governance including onboarding, contract management, SLA monitoring, renewals, compliance tracking, and performance management.
  • Drive cost optimization through structured vendor negotiations and procurement controls (IT & Non-IT).
  • Ensure statutory compliance and maintain audit-ready documentation across facilities, vendor contracts, benefits, and operational processes.
  • Implement and localize global workplace, travel, and benefits policies in alignment with India regulations and business needs.
  • Manage domestic and international travel coordination, including flights, accommodation, and visa support for employees and leadership.
  • Plan and execute India-based events such as townhalls, offsites, leadership visits, and employee engagement initiatives.
  • Oversee end-to-end administration of employee benefits including Group Mediclaim (GMC) and Term Life Insurance.
  • Manage operational budgets, track spend, support forecasting, and ensure timely vendor payments and reimbursements in coordination with Finance.
  • Maintain company asset lifecycle management, inventory control, documentation, and periodic audits.
  • Identify and implement continuous process improvements to enhance turnaround time, service quality, and employee experience.
  • Collaborate effectively with Leadership, HR, Finance, IT, global teams, and external partners to ensure seamless operational delivery.
  • Proactively identify operational risks and implement mitigation measures to protect business continuity.

Qualifications

  • 8-10 years of total experience in Office Administration, Facilities Management, Workplace Operations, or Corporate Services.
  • Experience handling vendor coordination and office operations independently.
  • Experience managing travel coordination, event logistics, and employee support services.
  • Exposure to basic contract management, SLA monitoring, and vendor follow-ups.
  • Experience coordinating with Finance for invoice processing and budget tracking.
  • Prior experience in a structured corporate or mid-sized organization preferred.
